As a senior events planner, you will train, organize, and manage department communications and team tasks, as well as lead the production of major events. You will meet with the events director to share updates on past and upcoming events, ensuring alignment with brand goals and stakeholder expectations. Among other duties, you will set measurable event outcomes, analyze event performance data, and compile comprehensive wrap-up reports. Responsibilities include oversight of all aspects of events, communication with internal teams and leadership during live production, and the development and management of budgets. Additionally, you will ensure invoices are processed quickly and troubleshoot any issues calmly.

In this role, you will research, develop, and seek approval for event concepts, themes, and décor designs to ensure consistency with all university branding, highlighting alumni talent when possible. You will lead partner meetings and ensure milestones are achieved. Among other duties, you will organize all planning documentation according to departmental and university-wide standards. Additionally, you will oversee load-in/load-out schedules, crew calls, equipment setup, rehearsals, and show execution. You will also conduct post-event analysis to evaluate success metrics, gather feedback, and identify areas for improvement.

In this role, you will stay informed about industry trends to implement new and innovative ideas for recurring events. You will facilitate and manage venue rental agreements with external partners as needed. You will also carry out additional duties as assigned.

The ideal candidate demonstrates strong problem-solving, time management, and interpersonal communication skills. They can also discreetly accommodate and communicate with VIP guests.

Minimum qualifications:  

  • Bachelor’s degree with at least five years of experience or training in large-scale events and experiences
  • Project management expertise in high-pressure, fast-paced, and dynamic environments
  • Ability to read technical diagrams, floor plans, and site maps
  • Ability to travel and work flexible hours
  • Reliable transportation

Certificates, licenses, and registrations:

  • Valid driver’s license
  • Valid passport

Travel required:

  • 10–20%

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
