As an administrative assistant for SCADpro, the university’s innovation design studio, you will support student and staff needs by promptly responding to all questions and assisting with initiatives and collaborative projects. You will help prepare for SCAD Days and serve as the main contact for the physical resources department. Responsibilities include correspondence management for department leadership, such as reading and directing mail, composing communications, and organizing files. Additionally, you will oversee the vice president of SCADpro’s schedule and calendar, greet and direct visitors, and order office supplies. You will also coordinate equipment maintenance and work with housekeeping to ensure buildings are ready for students.

In this role, you will gather information to complete paperwork and travel arrangements for all visiting alumni and professional mentors. You will schedule meetings, prepare agendas and facilities, and manage all duties related to meeting minutes. Additionally, you will coordinate quarterly report submissions from faculty, create drafts for leadership approval, and support end-of-quarter departmental documentation. This includes reminding faculty about deadlines for submitting syllabi, faculty comments, final grades, and more. You will also coordinate the end-of-quarter photo shoot with the communications team to document and showcase outstanding student work.

The ideal candidate exhibits strong communication, organization, and prioritization skills. The candidate is dedicated to professionalism, honesty, and integrity.

Minimum qualifications:      

  • At least one year of related professional experience
  • Computer skills, including Microsoft Office Suite (specifically Word and Excel), Banner, or similar database software

Preferred qualifications:      

  • Bachelor’s degree
  • Previous work experience in an academic environment 

Certificates, licenses, and registrations:  

  • Valid driver’s license   

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
