As an academic administrative assistant, you will support fine arts and visual communications leaders, including an associate dean, with departmental and university tasks, among them, schedule and calendar management. You will receive and greet office visitors; answer, screen, and coordinate telephone calls; and organize office operations and procedures. Among other duties, you will serve as a liaison with the dean and various departments, distribute information, and take notes and meeting minutes. For meetings, you will prepare agendas, reserve rooms, and coordinate building arrangements. You will also organize travel schedules and reservations, and assist chairs, assistants, and faculty with the preparation of travel and conference requests and related forms. Additionally, you will compile information for reports and documents, conduct research, and prepare statistical reports.

In this role, you will prioritize prompt written communication within the department and business matters related to the dean. You will coordinate with the director of faculty recruitment on all new faculty interviews, prepare rosters for new hires, and maintain organized file systems, correspondence, and other records. Additionally, you will complete official errands to support university functions and participate in professional development activities as needed to perform your job. You will also attend weekly meetings with the assistant to the chief academic officer and assist with special projects.

In this position, you will be responsible for the coordination of weekly and quarterly departmental reports, the maintenance of faculty audits, and the facilitation of faculty peer observation assignments. You will support the department chair with schedule concerns and academic policies and procedures. Among other duties, you will assist students with questions about academic policies or direct them to the appropriate office and collaborate with the associate dean to build relationships with external partners. Additionally, you will work with the dean, associate chair, and SCAD Giving to secure donations and new opportunities contacts.

As an academic assistant, you will help with scheduling senior critiques, student coordination, and communication between the department and local schools to build relationships. Responsibilities include cross-departmental peer observation coordination, feedback note taking, and the promotion of events to students. You will support faculty and a project and research coordinator with year-end shows. Additionally, you will research and purchase materials for faculty members and manage communications and schedules for student competitions in coordination with department leadership. You will also assist with SCAD TVfest, monitor department budgets and purchase requests, and act as a liaison with the purchasing department.

The ideal candidate demonstrates strong communication, organizational, and project management skills. They can multitask and handle multiple deadlines simultaneously. They show a commitment to discipline, honesty, and integrity. Additionally, they take initiative, stay focused, and work proactively to stay ahead of schedule.

Minimum qualifications:      

  • Bachelor’s degree
  • At least two years of related project management experience
  • Proven success working with executive-level personnel
  • Computer skills and familiarity with Microsoft Office Suite, Banner, or a similar database

Preferred qualifications:      

  • Four-year college degree in a creative field or education
  • At least three years of administrative experience
  • Adobe Creative Suite experience

Certificates, licenses, and registrations:

  • Valid driver’s license

Travel required:  

  • Less than 10%

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
