As an academic administrative assistant, you will provide administrative support with academic projects and university initiatives under the direction of the senior vice president, vice president, and assigned school’s dean or associate dean. You will liaise with the dean or associate dean and other internal offices, distribute communications, and arrange meetings — including agenda prep, space reservations, and recording and transcribing minutes. You will arrange all travel related requests and manage schedules for the dean or associate dean and assistant or associate chairs. You will also organize all departmental communications related to the dean or associate dean, support their networking, and assist them with tracking department budgets and purchase requisitions.

In this role, you will contribute to the university’s strategic plan and priorities, coordinate support to assigned schools, and maintain comprehensive project timelines to meet measurable goals and deadlines. You will manage the dean or associate deans’ calendar and schedule, ensure excellence in operation procedures, and promptly screen all inquiries. You will maintain a positive, professional office environment, act as a representative of the office during all interactions, and host office visitors. You will also compile research and department or assigned school related data for reports and documents, organize all files for documentation, and annually collect faculty curriculum vitae (CV). In addition, you will participate in professional development activities and attend quarterly department meetings.

In this position, you will prepare quarterly rosters of teaching assignments, coordinate with human resources (HR) about new-hire interviews, and run official department errands. You will collect and review all documents submitted for the quarterly curriculum council, attending the event as well as other department functions. You will manage attendance tracking, professor comments, and the collection of student work. You will prepare new program executive summaries, course revisions, and other required documents. In addition, you will assist with the completion of student course evaluations as assigned by academic services and institutional effectiveness.

As an administrative assistant, you will participate in professional development activities, support all accreditation and recruitment efforts, and collaborate with multiple internal departments to promptly address student concerns. You will provide academic content to creative direction and public relations (PR) and marketing departments for promotional purposes. You will coordinate quarterly departmental reports to verify compliance with the SCAD style guide and file it with the appropriate department, coordinate with the institutional effectiveness office and academic departments on award and ranking submissions, and liaise with the travel office and purchasing department on all matters related to traveling for conferences.

You will ensure that all buildings within your assigned school showcase the best student work and are ready to host guests. You will assist academic departments with academic scheduling, policies, and procedural question. You will aid students with their questions regarding academic policies to direct them to the appropriate office.

The successful candidate will display immaculate communication, organizational, and project management skills. The candidate will be able to simultaneously manage multiple deadlines and work well independently or collaboratively. The candidate will understand, follow, and articulate, all university policies and procedures. They will demonstrate a commitment to discipline, honest, and integrity. They will also have the personal initiative to say on task, working ahead of schedule.

Minimum Qualifications:      

  • Bachelor’s degree
  • At least two years of related professional experience
  • Demonstrated success working with executive level personnel
  • Familiarity with Microsoft Office Suite, Banner, or a similar database 

Preferred Qualifications:      

  • Adobe Creative Suite experience

Certificates, licenses, and registrations:  

  • Valid driver’s license

Travel Required:  

  • Less than 10%

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
