Administrative Assistant/Intake Coordinator

As an administrative assistant and intake coordinator, you will be the primary administrative and clerical support for counseling and student support services (CS3), and will maintain all front-office processes and procedures, including mental health intake processes. You will provide first-contact for students seeking mental health counseling, assess their risk, and coordinate the appropriate referrals, resources, and scheduling as needed. You will support the executive director and licensed clinical mental health counselors as assigned; maintain departmental files, forms, and online data; and keep detailed records of all program functions, events timelines, contacts, emails, and schedules.

Among other duties, you will participate in clinical mental health staff meetings and crisis counseling debriefs as needed. You will also be responsible for general administrative and receptionist duties (e.g., greet students and visitors, order supplies, manage petty cash and departmental budget database, etc.)., handle all work orders and printing requests, and support staff with reimbursements and travel via MySCAD.

Minimum Qualifications:

  • Bachelor’s degree in social work, human services, counseling, psychology, or related field
  • One to two years related experience and/or training OR equivalent combination of education and experience

Preferred Qualifications: Professional experience in higher education

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
