As an administrative assistant for the interior design department — ranked No. 1 more times than any other university by DesignIntelligence — you will support faculty and staff as they foster energetic and inspiring spaces for student learning. You’ll aid department academic projects and university initiatives while collaborating with academic operations managers to ensure relevant departments meet operational requirements and deadlines.

To support the university’s overall mission — preparing talented students for creative professions through engaged teaching and learning in a positively oriented university environment — you’ll:

  • Support departmental leadership and the office of academic services in department and school-wide initiatives through ongoing collaborative projects
  • Oversee classroom scheduling, housekeeping, and SCAD Day preparation
  • Read and route incoming mail, locate and attach the appropriate files to correspondence to be answered by departmental leadership, compose and type routine correspondence
  • Prepare outgoing mail and other correspondences and organize a file system for correspondences and other records
  • Maintain the leadership calendars and schedules

As an administrative assistant, you will:

  • Support the assigned academic operations manager
  • Greet scheduled visitors and direct them to the appropriate area or person
  • Order, maintain, and arrange supplies
  • Schedule equipment maintenance
  • Support the Operation Showcase initiative (i.e., maintain display spaces; print, and display outstanding student work; and coordinate with the physical resources team before SCAD Days, signature events, tours, and commencement)

Additionally, you will:

  • Coordinate and arrange meetings, prepare agendas, reserve and prepare buildings, and record and transcribe minutes of meetings
  • Coordinate quarterly report submissions from faculty and create a draft for departmental leader approval
  • Support end of quarter departmental duties and responsibilities, including reminding faculty about syllabi, faculty comments, final grades, and more 
  • Assist with end-of-quarter outstanding student photo documentation in coordination with the communications team

Minimum qualifications:      

  • Bachelor’s degree
  • At least one year of related experience
  • Proficiency in Microsoft Office Suite, Banner, or a similar database

Preferred qualifications:      

  • Work experience in an academic environment
  • Adobe certified or competency with Adobe Acrobat

Travel required:  

  • Less than 10%

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
