Position Summary

As an executive coordinator in this position, a large part of your job will be to keep the executive client organized and on schedule. Your goal will be to make their work and personal life easier and simpler, freeing up more time for them to pursue initiatives and activities of their choosing. Top notch communication skills are needed, including speaking, writing, listening and reading. This position requires a timely response to all requests via text, email or phone. You must be able to understand and follow instructions, and to transmit this information clearly and honestly to the appropriate individuals. Accuracy and attention to detail in communication, reporting and follow through on assignments is essential. You must take initiative, be a problem solver and consistently maintain a positive demeanor. You must act with the upmost discretion and employ a high level of tact and confidentiality in this position

Duties and responsibilities

  • % - Duties may vary and other duties may be assigned. • Manage day-to-day operations of President's schedule • Prepare briefing material and talking points for upcoming meetings, events, interviews, etc. • Prepare detailed trip itineraries including car reservations, meal reservations, hotel reservations, meetings, etc. • Drive the President to class observations, appointments, events, etc. • Attend meetings, record notes and ensure follow-up • Assist with and support execution of presidential initiatives • Attend all SCAD signature events, as requested • Submit purchase requisitions for all invoices • Coordinate the President's personal schedule with the office schedule • Travel as needed to accompany president • Procure and/or process invoices for payment in a timely manner • Make corporate purchases, as well as the president’s personal purchases, in a responsible manner and submit receipts and expense reports in an appropriate and timely fashion - (Essential)

 

Minimum Qualifications: Bachelor's degree required. Professional tact and ability to maintain confidentiality. Strong writing skills and excellent communication skills. Knowledgeable of all software programs, i.e. Excel, Word, etc. Knowledgably of commercial and private travel. The following attributes are required: Proactivity Confidentiality Diplomatic Discretion Flexibility Interpersonal Multitasking Organization Positive Attitude Problem Solving Professional Demeanor Self-Motivated Team Player Rigorous Planner Self-Awareness Time Management Work Independently Detail Oriented Persistent Honesty Responsive The requirements listed are representative of the knowledge, skill and ability required. Preferred Qualifications:

Certificates, licenses and registrations: valid driver's license

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 am to 5:30 pm. In order to accommodate business needs, employees may be assigned to other work days and/or hours, including weekends and evenings.
